Keep every premises and dependency visible
A requirement covering several Delhi NCR factories should not be treated as one uninterrupted attendance slot. Each premises has its own access, material readiness and handover contact. A multi-site work board helps the provider understand which stages depend on each other and which arrangements need separate confirmation.
Create a row for each premises
List the complete address, work contact, items, proposed stage and expected endpoint for every site. Give each row a simple reference that can be used in messages. Do not rely on the company name alone when several units share it. The provider should be able to see whether two similar requests concern different premises or different stages at the same location.
Show readiness dependencies
Identify what must happen before the team can begin at the next site. A delivery arrival, equipment arrangement or receiving-area release may control that stage. Show tentative times as estimates and confirmed slots as confirmed. This distinction helps the parties discuss a workable sequence without turning an optimistic travel or dispatch assumption into a promise of attendance.
Separate site and travel scope
Ask the provider to make clear how the labour stages, mobilisation and any transport or equipment interfaces are treated in the quotation. A short work stage at one factory may still require separate coordination and travel. Do not compare quotations solely by the number of sites if their included work, readiness conditions and attendance arrangements differ.
Maintain one coordination board
After a change, update the shared board and notify the affected site contacts. Record who confirmed the new sequence and which stages remain pending. At closeout, mark each site’s agreed stage separately instead of using one general “all done” message. This gives the customer a more useful record of completed work and outstanding decisions across the wider requirement.
Your preparation checklist
- A separate row and contact for every site
- Readiness dependencies and confidence of timing
- Scope for travel, labour and equipment interfaces
- Stage-by-stage completion status
