Heavy Labour: Preparing the Receiving Site

Prepare a receiving-site brief with the exact endpoint, contact, access readiness and outstanding decisions before industrial unloading labour attends.

PLANNING GUIDE

Prepare the endpoint before material arrives

The receiving site determines what happens after material arrives. For heavy labour planning, its readiness should be described as carefully as the pickup stage. A receiving brief links the delivery, the route and the person accepting the agreed stage, helping the customer identify gaps before an arrival is confirmed.

Confirm the intended endpoint

Name the position or area where the requested handling stage is expected to end. State who approves that endpoint and whether it is final or temporary. Avoid instructions such as “somewhere near the machine line” when several areas are possible. If the factory has not yet decided, record the question and obtain the responsible decision before committing the dependent movement stage.

Review route information with the site

Ask the receiving contact for current photographs, relevant access notes and the work window. Explain whether a vehicle, another provider or the factory’s own team uses the same space. Keep known restrictions and pending preparations visible. The responsible parties may need further assessment; a general statement that a factory has received large deliveries previously does not confirm the current arrangement.

Connect delivery and receiving references

Share the item or package list with the receiving contact and provider so each group can be directed to its confirmed endpoint. If deliveries arrive in batches, identify which batch is expected. Tell the sender how changes should be communicated. This gives the receiving operation a better record than an arrival call that mentions only a vehicle and a broad material description.

Agree how the stage is accepted

Identify who records receipt, what references are used and how unresolved differences are noted. Keep the labour-stage handover distinct from specialist inspection, installation or equipment acceptance. When the agreed receiving stage is complete, record its endpoint and any separately outstanding tasks. This preserves a clear boundary even if the broader project continues after the handling team has finished its work.

Your preparation checklist

  • Approved final or temporary endpoint
  • Current route information and readiness
  • Item/batch references supplied to receiving
  • Named handover and follow-up contacts
