PLANNING GUIDE

Carry the work record across shift changes

A factory handling job may begin during one production shift and end during another. Heavy labour coordination becomes harder when the incoming contact receives only a verbal summary. A short shift plan keeps the work sequence, access decisions and unfinished tasks connected even when the people managing the premises change.

Identify the work window

Record the proposed start and finish window, the factory activities that affect it and the person who confirms availability. Explain whether a receiving bay, internal route or work area is shared with production. If access becomes available only at a particular stage, make that dependency clear. The attendance plan should follow confirmed site arrangements rather than a general assumption that any shift can accommodate the work.

Name the decision contacts

List the outgoing contact, incoming contact and a person who can approve a change during the work window. Separate operational instructions from commercial approval where those responsibilities differ. A team may need one person to confirm the receiving area and another to agree additional scope. Recording those roles reduces the chance that an instruction is treated as approved simply because someone on site requested it.

Prepare a short shift handover

Before responsibility changes, record the items or stages completed, the current positions of material and the tasks that remain. Include any revised sequence that has already been agreed. The incoming contact should not have to reconstruct the job from individual messages or an old delivery list. Share the same handover with the provider so the next stage begins from a common record.

Keep attendance and scope separate

A shift change does not automatically extend the agreed attendance period or add another handling stage. Confirm any changed timing or requirement with the provider before relying on it. Keep the record of who attended separate from the record of what was requested and completed. Both may support follow-up, but they answer different questions and should not be substituted for one another.

Your preparation checklist

  • Confirmed work and access window
  • Outgoing, incoming and approval contacts
  • Current material positions and unfinished stages
  • Written confirmation of changed timing or scope

Questions about this topic

Can the next shift change the receiving position?

A change should be reviewed against the handling arrangement and confirmed with the responsible provider before the next stage is committed.
