Turn the requirement into one usable brief
A request that says “send heavy labour tomorrow” leaves the most important questions unanswered. A useful job brief connects the material, the place and the expected result. It gives the factory contact and provider the same starting point, and makes missing information visible before a work date is confirmed.
Describe the task in stages
Begin with the item’s current position and the place where your responsibility for the move ends. Separate preparation, loading, unloading and internal movement rather than treating them as one unnamed activity. If another provider supplies transport or equipment, identify that interface. Someone reviewing the enquiry should be able to understand what happens before the labour team starts and after it finishes.
Attach evidence to the item list
Create a short list with an item reference, quantity, dimensions and the weight information currently available. State whether a figure comes from a specification, a label or an estimate. Add photographs that correspond to the references. A provider cannot assess an entire consignment reliably if the written description names several different items but the photographs show only one of them.
Record open questions and owners
A useful brief can contain unanswered questions, provided each one has an owner. Examples include confirming a receiving position, checking the available vehicle window or obtaining manufacturer handling information. Mark these as pending rather than presenting an assumption as agreed. Give the provider a contact who can resolve them, and say which decisions must be settled before the quotation or attendance can be confirmed.
Keep one current version
Give the brief a date and a simple revision number. When the quantity, access or timing changes, update the same record and send the revision to affected contacts. A clear subject such as “Factory handling enquiry, revision 2” is more useful than a long chain of partly superseded instructions. Ask the provider to confirm the scope against that version, including any exclusions.
