Connect arrivals with a ready receiving operation
A vehicle can arrive at the right factory and still be unable to begin unloading. The bay may be occupied, the receiving contact unavailable or the destination area unclear. Heavy labour planning should therefore connect vehicle arrival with the actual readiness of the receiving operation, rather than rely on a single expected time.
Distinguish the three useful times
Record the expected gate arrival, the time a bay or unloading position becomes available and the target handover time. These are different events. Ask the transporter how arrival changes will be communicated, and identify who decides whether the team should attend as planned. Do not let a tentative vehicle estimate become an assumed commitment for every party involved in the work.
Agree the receiving sequence
For multiple vehicles, identify the order in which material is needed and the space available between arrivals. A truck carrying later-stage items may occupy an area needed for a more urgent delivery. Share the consignment references with the receiving contact and provider, and agree who can alter the sequence. The aim is a coordinated arrival plan, not an unsupported promise about unloading speed.
Make the contact chain practical
Give the driver a gate contact and the provider a site contact who can confirm the receiving position. If these are different people, explain their roles. Include an alternate contact for the work window. A phone number without a named responsibility may still leave a team waiting while a message moves between stores, production and security without a clear decision owner.
Document delays without assumptions
When an arrival changes, record the revised estimate, the readiness of the site and the decision communicated to the provider. Waiting-time arrangements should already be clear in the quotation. A dated arrival record helps the parties discuss what actually happened. It does not, by itself, decide who owes a charge; that depends on the agreed scope and terms for the work.
Your preparation checklist
- Gate arrival, bay availability and handover times
- Vehicle and consignment references
- Receiving and alternate contacts
- Agreed process for revised arrival information
Questions about this topic
Should labour attend before the truck arrives?
Agree attendance against the assessed work and site readiness. The appropriate timing depends on preparation, access and the provider’s confirmed arrangement.
